Hello everyone!

Happy Canada Day (Eve)! Thank you for your response to join the team. Your passion is already evident for your desire to contribute to a blue-sky project here at the University. Here’s an outline of this email:

1. Introduction

Most of you will have read the attached PDF document. If you haven’t yet, please make sure you do so and sign up via googlesurvey. It is a non-binding survey and meant to keep member contact information on a single spreadsheet.

The goal of this project is for us to work together and initiate a plastic prototyping workshop that will be usable for the Fall semester. My role as director is not to tell you what to do, but to make sure that our efforts fly straight and fly hard. As founding members, we have the most influence for the direction of the project. Make full use of this flexibility! Constantly answering questions such as ‘how can we improve this’, ‘how can this be optimized for users’, and ‘how will this create a positive impact’ will be our summer challenge.

2. Meeting on Saturday

I acknowledge it’s short notice, but we will have our first group meeting at 9:30am on Saturday, July 2nd at Gallery FM. Please try to attend, but not being able to make it does not forfeit your position on the team. Gallery FM is located near Good Earth on the 1st Floor of ICT and will be open from 8:30am – 4:30pm do not feel obligated to stay for the entire day. You are also welcome to come by anytime during the day to drop by and introduce yourself!

We will hold a weekly SCRUM to touch base, evaluate progress, and help each other out. The weekly SCRUM is tentatively planned to be held on Saturdays at 9:30am. If this is not a good time for members, we’ll move it. However, with our tight timeline, I feel that it’s imperative that we hold weekly updates.

3. Trello

Trello is a project management site that we will be using. More HQ information will include the gmail calendar for meetings (calgaryplastics@gmail.com) as well as Google Drive. You will be added to the gmail calendar and Trello through the email you included (be on the lookout for those invitations).

The meeting on Saturday will describe how we will use Trello and how our information will be organized. Detailed instructions to follow after.
